About this Opportunity

When meeting in person, it is essential for units to have a safe, desirable location to gather. The Unit Space Coordinator will provide specialized support to unit space. In this role you will contribute to positive girl experience by working to ensure units are supported with locating and securing suitable space for unit meetings. You will report to the Team Lead, Unit Spaceand work alongside key internal stakeholders across the organization.

Responsibilities include:

  • Working with various external partners (i.e., school boards, community centres, local businesses) to research and submit permit applications to secure unit space (indoor and/or outdoor).
  • In collaboration with key internal stakeholders, lead and support the implementation of unit space procedures, following established best practices.
  • Researching and contacting appropriate unit space options and booking unit space for new or moved units.
  • Working alongside Unit Guiders and senior volunteers to determine unit space needs, as well as actively monitoring and supporting these needs.
  • Daily administration related to unit space including cancellations, communicating updates to unit Guiders, permit application timing awareness and member customer service support.
  • Researching corporate partners and creating materials to promote space partnerships
  • Review, maintain, and make recommendations for improvements to the unit space support processes, policies, and tools.
  • Provide ongoing unit space support including record keeping, document management, database maintenance, quality assurance and responding to inquiries to ensure a positive customer service experience.
  • Maintaining a high level of knowledge concerning the membership database (iMIS) to access information and generate reports.

  • A relevant post-secondary degree/diploma in a related field of study or have equivalent experience (e.g., Volunteer Management, Event Planning, Social Sciences, Business Administration).

Reporting to the Manager, Accounting, the Accounting Analyst will prepare, assist, process and perform a variety of specialized duties associated with analyzing accounting needs. 

In this role you will:

  • Prepare daily and monthly bank reconciliations between Web Applications, Sage Accounting System, event reports and bank accounts in connection with the monthly closing process. 
  • Work closely with various members of the accounting and finance teams to follow up on and correct discrepancies.
  • Participate in the preparation and maintenance of process documentation and records management.
  • Assist with audits, (interim and annual external),

Girl Guides of Canada is seeking a Desktop Support Analyst

About this Opportunity

The Desktop Support Analyst reports to the Senior Manager,Information Technology and will collaborate with the IT team to support our users and maintain our IT systems with a focus on laptops, desktop, and mobile devices. The successful candidate will be skilled and up to date with the latest IT trends.

In this role, you will:

  • Setup and deploy, redeploy, repair, and maintain laptops and desktops.
  • Onboarding, changes and offboarding of users from our IT systems according to GGC procedures.
  • Ensure all desktops and laptops are patched in a timely manner.
  • Monitor ticketing system, ensure tickets are appropriately assigned and responded to within target times.
  • Monitor quarantine taking care to identify and release only legitimate emails.
  • Office 365 user administration.
  • Tracks, and keeps current a database of IT Assets; a hardware and software inventory shared with the IT team
  • Learn and maintain skills and qualification for IT systems used by GGC.
  • Coordinate with the facilities team to safely ship (and receive) devices to (and from) our end users
  • Monitor manage engine desktop central to pre-emptively address problems with endpoint devices (e.g. low disk space, missing/failing updates, disk errors).
  • Monitor the health of onsite network and server equipment and internet connections.
  • Diagnoses and resolve minor network issues.
  • Contribute to revisions of procedures and guidelines relevant to the role.
  • Help ensure use of IT systems are in compliance with IT policy, standards, procedures, guidelines
  • Monitors GGC ticketing system, ensuring timely resolution and that these are closed once completed. Follow escalated tickets to ensure these are completed.
  • Monitor IT Partners ticket system and comment with supporting information to help ensure speedy resolution or escalated these to internal ticketing system when required.
  • Provide one-on-one end user support by Zoho assist, MS Teams/phone, e-mail or in person for computer- and equipment-related problems, talking users through procedures to diagnose the source of problems, answering questions about how to use software and e-mail and in operating equipment, communicating in a user-friendly way based on the experience and knowledge level of end users
  • Create and maintain and share knowledge base guides for how to resolve common issues.
  • Prioritizes issues to ensure appropriate response time based on severity. Take responsibility for the quality and timeliness of resolution.
  • Technical support for equipment at camps and other properties.
  • Assist with Office 365 and basic device support for provincial volunteers.
  • Assist the digital adoption and training specialist in developing and providing training when required.
  • Ensures all antivirus/antimalware/MDR, anti-spam are active and maintained on desktops and laptops.
  • Ensure strong passwords are used and MFA is enforced where possible.

About This Opportunity

Reporting to the Director, People & Culture, the People & Culture Lead provides leadership in managing and delivering planned projects in functional areas including, but not limited to organization development, onboarding, talent management, compensation, DEIA, Human Capital Management System (HCM) and policies. Reporting to the Chief Financial Officer, the Project and Administrative Coordinator will support the Chief Financial Officer and the Finance Department management team more broadly. About This Opportunity

As part of the national Marketing and Communications team, the Email Marketing Communications Specialist will report to the Team Lead, Provincial MarComm Support and will work cross-functionally with internal teams to strategize, develop, and manage effective communications, meeting our girls, caregivers, volunteers and potential new members where they are and ensuring they have the necessary information to make the most of opportunities within Guiding.

This is a unique role that blends both skills in direct email marketing and understanding of consumer journeys with the storytelling ability of a communications professional. Roles and Responsibilities will:

  • Develop end-to-end email campaigns, set triggered messages, manage list segmentation strategies, develop and execute automated journeys for lead generation.
  • Imagine, design and create compelling visuals and copy to engage target audiences with clear calls to action.

Girl Guides of Canada is seeking a Property Booking Coordinator
*Remote or Hybrid work arrangement.

About This Opportunity

Reporting to the Manager, Legal Services & Property, the Property Booking Coordinator will provide logistical and analytical support that focuses on financial, data management, and administrative requirements to coordinate the property booking process across the country.

In this role, you will:

  • Yearly maintenance of database for the purpose of inputting, canceling, or updating property and equipment bookings based on information provided.
  • Provide property booking data and financial reports for staff, managers, volunteers, etc., as needed.
  • Create and maintain electronic and hard copy filing systems within established Records Retention protocols.
  • Provide support, information and direction for volunteers and parents/guardians to secure property bookings.
  • Create and maintain property webpages and documents, including email templates, reports and tracking sheets and property Safe Guide templates.
  • Provide financial administrative support by processing weekly property fund transfers and completing quarterly property reconciliations as requested.
  • Provide a positive front-line customer service experience with volunteers.
  • Respond to inquiries via phone and electronically while maintaining established service standard.

You are the ideal candidate if you have

  • Intermediate or advance user proficiency with MS Access or other database software
  • Previous experience maintaining a database and creating reports.
  • Relevant post-secondary education (e.g. Business Administration or Accounting) or equivalent experience
  • 2+ years’ experience in an administrative role with some experience in data management/analysis and/or project management
  • Technical skills and proficiency with Office 365
  • Great communication and team skills
  • A high attention to detail and ability to multi-task, stay organized and manage time independently.
  • Critical thinking and problem-solving skills with the ability to effectively utilize provided resources
  • A friendly and professional demeanor and a focus on providing an exceptional customer service experience
  • Experience working with volunteers (asset)
  • Knowledge or experience of GGC (asset)
